Company description:: ALTRINCHAM 26th January 2004. The Institution of Mechanical Engineers (IMechE) are saving a substantial amount of time updating their annual Staff Handbook by using an Intranet to communicate this information.
‘We have 2-3 new starters every month and we used a big plastic file for the staff handbook, which contained over 100 pages of printed information and specially printed card inserts/separators issued to each one. Over a number of years, the savings will be considerable’ commented Nick Smith, IMechE.
‘In addition, we have put links to online telephone directories onto the Intranet, which is saving us on average £120 a month’ he continues.
IMechE had already invested in an Intranet, essentially a secure website, which can only be accessed by an organisation’s employees using a standard web browser, with the desire to improve communication and document management. What they are actually realising is a revolution in the way their 300 staff communicate across their 2 locations.
IMechE staff now spend less time searching for documents, which could be obsolete and more time on delivering services to their members. This is because there has been a vast reduction in the amount of paperwork in the system, as this information is now available online.
The Intranet is proving to offer tangible savings to the IMechE, it is being used everyday, which has justified the IMechE’s recent investment in upgrading the Intranet.
Decision making is now even quicker, as staff are able to approve issues and receive updates using an Alerts system, a simple transactional messaging system. IT issues are also serviced much faster as the IT team can access their support case lists from other users’ PCs using a secure permission setting.
This is in addition to the existing Intranet installed at IMechE, which has unique banner advertisements customised to each departmental section within the Intranet, as well as a classified advertisements section and staff directory.
The Intranet was delivered by Odyssey Interactive, using the Interact Intranet Suite. The IMechE selected Interact as it offered the initial low investment of a product based core solution to which they could add their own information sections, such as project management, news, document library and a notice board. The Intranet runs on a Windows 2000 environment and is accessed using a standard web browser, making it available anywhere at any time to IMechE staff.
